About the BI-designer tool
Recently, Bitrix24 introduced the BI constructor, a tool that has radically changed the approach to reporting and data analysis. This is an analytical system that works seamlessly within Bitrix24 itself.
Now companies can work with metrics within the system itself without the need to use external services, which is especially important for businesses with large volumes of data.
There are currently two types of reports in the system:
Ready-made system reports - can be copied and whatsapp number list edited, but cannot be modified directly.
Custom reports – created manually for specific tasks.
Implemented BI Analytics in an educational project
The owner of the educational project SoftLab faced the problem of insufficient transparency of business processes. He needed a tool for automatic collection of transaction data and displaying them in convenient reports inside Bitrix24.
SoftLab is a fictitious name, we use it to maintain client confidentiality.
At the moment, in Bitrix24, using the BI designer, we have implemented 20+ reports containing 70+ indicators: sales, deals, leads, revenue and much more. This is not just transferring data from the system, but creating new functionality that expands the standard analytics capabilities in Bitrix24.
Demonstration of a dashboard using analytics on teachers as an example
The client had two smart processes set up: one records students’ attendance at classes, the other collects data from survey forms.
We aggregated the data and presented it in the form of graphs and key indicators. This allowed managers to analyze student satisfaction and make management decisions. The main division of data is by age group. It was important for the client to track the time it took for a deal to pass through each stage of the sales funnel, to understand how long a deal lives within the portal at various statuses, to calculate planned and actual revenue and profit indicators, to calculate the payroll fund, etc.
A number of problems that the client encountered:
Bitrix24 does not save the history of deal stages when moving between funnels, which complicates analytics.
Bitrix24 standard reports were not flexible enough.
Data analysis took too much time.
Lack of transparency at transaction stages resulted in both customer losses and financial losses.
To address these issues, we developed a data storage mechanism that allows tracking the entire transaction path, not just its final status.
We not only figured out the new tool, but also configured the BI designer for the client's business processes, created integration with CRM, developed 20+ custom dashboards and provided real-time data display. We also trained users to work with the tool.
Now they can make quick, informed decisions based on up-to-date data.
Created custom dashboards
The client has several funnels by department, for example, a sales funnel, adaptations, recordings, follow-ups, etc. We developed custom reports and set up filtering by the required indicators for each report.
We also built reports for the plan-fact analysis of profit and revenue, automated the calculation of the payroll to control personnel costs and other reports. We will tell you about some of them.
Transaction analytics
We track the dynamics of deals in funnels.
How many transactions were taken into work during the period.
Total number of transactions received.
The number of transactions that have exited the "unresolved" status.
Average rating (it is related to the company's internal indicator).
Average time a deal remains in the "unresolved" status.
A problem was identified: initially, the report only took into account the date of transferring the deal to another stage, but it turned out that it was important to take into account only working hours. The deal could be transferred to non-working hours, which affected the accuracy of the calculations.
There is also a table with detailed analytics on transactions, including a link to the transaction card.
